Event site layout

Event site layout plans, drawn to scale on a satellite map

Event and operations teams can use EasySiteSI to plan a site layout on a live satellite map at true scale. Drop in the venue plan or start from the aerial, trace fencing and see its length and panel count, then place gates, vehicles, containers, toilets, walkways and service routes, and export a PDF for each stage of bump-in, the event and bump-out.

What is an event site layout plan?

An event site layout plan shows how a venue or open space is set up for an event: the perimeter fencing and gates, entries and emergency access, toilets and first aid, power and lighting, storage, service and delivery routes, parking and pedestrian paths. It usually changes between bump-in, the event itself and bump-out. Drawing it to scale on a satellite map shows what actually fits on the ground.

Event site layout checklist

  • Perimeter: fencing (with length and panel count), shade-cloth fencing, gates, water-filled barriers and bollards.
  • Entries and emergency access: entry and exit points, emergency access routes and the muster or assembly point.
  • First aid and emergency: first-aid shed or point, ambulance point, defibrillator, fire equipment and fire hydrants.
  • Toilets and amenities: portaloos, toilet blocks and ablutions.
  • Power and lighting: generators, switchboards and lighting towers.
  • Storage and waste: 20 ft and 40 ft containers, skip bins and water tanks.
  • Service routes and loading: delivery routes, loading zones and loading bays, vehicle swept paths, trucks and semi-trailers.
  • Traffic and parking: parking, traffic controllers, VMS board trailers, zebra crossings and speed limit signs.
  • Pedestrians: walkways and pedestrian routes, kept apart from vehicle routes.
  • Zones: exclusion, safety and sensitive zones, plus labelled areas for marquees, stages and stalls.

How to plan an event site layout in EasySiteSI

  1. Start from the venue plan or the aerial. Drop in the venue plan as a PDF, PNG or JPG and calibrate it on the live satellite map, or draw straight onto the aerial.
  2. Fence the site. Trace the perimeter fencing and see its length and panel count, then add gates, water-filled barriers and bollards.
  3. Place facilities. Drag true-size toilets, containers, generators, lighting towers, first aid and other objects from the library. Draw marquees, stages and stalls as labelled rectangles or hatched zones at their real size.
  4. Add routes. Mark service and delivery routes, walkways and emergency access with Routes & Access lines, and place trucks, semi-trailers and parking.
  5. Label and export. Add callouts, then export a PDF at A1, A3 or A4 with a legend and north arrow. On Pro, export a sheet for bump-in, the event and bump-out.

What EasySiteSI doesn’t do for events

EasySiteSI makes the plan. It doesn’t do ticketing, trader bookings or live collaboration; share the PDF or the EasySiteSI file.

It doesn’t model crowd capacity or crowd flow, calculate vehicle turning paths, or replace the permits and approvals your event needs. Check what your council, venue and other authorities require.

Open the finished sample plan, see how EasySiteSI compares with CAD, Bluebeam, PowerPoint/Visio and SketchUp, or read about the site plan for a council CMP.

FAQ

Frequently asked questions

Can I use EasySiteSI for an event site layout?

Yes. EasySiteSI's satellite map covers the world, so you can lay out an event site at true scale: fencing, gates, vehicles, containers, toilets, walkways and service routes. Then export a PDF sheet for each stage. It makes the plan; it doesn't handle ticketing, trader bookings or live collaboration.

Does the library have marquees, stages or crowd barriers?

Not as dedicated objects. Draw marquees, stages and other structures as labelled rectangles or hatched zones at their real size, and use fencing, water-filled barriers and bollards for perimeters and vehicle separation. On the Pro plan you can use Make object to save your own objects and reuse them.

Can I show bump-in, the event and bump-out separately?

Yes, on the Pro plan. Set up a phase for each stage, assign objects to the phases they belong to, and export a sheet for each one.

Can I check that trucks can get in and turn?

You can place true-size trucks and semi-trailers on the plan, draw service and delivery routes, and mark vehicle swept paths and loading zones, so you can see what fits at true scale. EasySiteSI doesn't calculate vehicle turning paths for you, so check critical movements with a traffic engineer.

Does EasySiteSI work for venues outside Australia?

Yes. The satellite map covers the world, so you can plan an event site anywhere. Prices are in Australian dollars and exclude GST.

How do I share the layout with contractors and staff?

Export a print-ready PDF at A1, A3 or A4, or send the EasySiteSI file to a colleague who also uses EasySiteSI. On the Pro plan you can also export a view-only file that opens in a browser. There's no shared cloud workspace.
