Event site plan template: a repeatable layout for outdoor events
Outdoor events need a clear plan for stages, fencing, amenities, bump-in and emergency access. Use this template as a starting structure and build it in EasySiteSI over a live satellite map.
Why use a template
Most outdoor events need the same layers every time: a perimeter, entries and exits, a stage or activity area, amenities, back-of-house, and routes for vehicles and emergency services. Working through them in the same order means nothing gets forgotten and the plan is easy for others to read.
The template, layer by layer
- Calibrate the venue. Line up the venue map or a site plan on satellite imagery, or draw straight onto the map if you have no drawing.
- Set the event boundary. Draw the perimeter and add temporary fencing. Fence runs show panel counts, which helps when ordering.
- Entries and exits. Mark public entries, exits and gates, keeping them clear of vehicle routes.
- Main areas. Place the stage, marquees, food vendors and seating using true-size SITE OBJECTS.
- Amenities. Add toilets, water tanks, bins and first aid near where people gather.
- Back-of-house. Set aside space for generators, storage containers and crew parking.
- Vehicle and emergency access. Draw the bump-in route and keep an emergency vehicle lane clear through the whole layout.
- Phases. Use phases for bump-in, show day and bump-out, so each stage of the event has its own sheet.
- Export. Print a PDF for each phase with a legend and north arrow.
Tips
- Keep your EasySiteSI files and reuse the layout next year as a starting point.
- Label key items with callouts so crews and vendors can find their spot quickly.
- Check the plan against the venue’s own requirements for access and capacity.

FAQ
Frequently asked questions
What goes on an event site plan?
The boundary and fencing, entries and exits, stage and activity areas, toilets, water and first aid, back-of-house space, vehicle routes and a clear emergency access lane, plus a legend and north arrow.
Can I reuse an event layout?
Yes. Save your EasySiteSI files and open them again for the next event, then move or swap SITE OBJECTS as the layout changes.
Can I show bump-in and bump-out separately?
Yes. Use phases to keep bump-in, event day and bump-out on separate sheets, and export a PDF of each.
Is the Basic plan enough for an event plan?
The Basic plan is free and covers the core tools. Some objects and multi-phase export are part of the Pro plan.
